Adding & Editing Time Cards

In this article, we will cover how to add & edit your time cards in Homebase Timesheets. Adding & editing timesheets allows you to ensure all timesheet information is accurate before exporting for payroll.

Adding a Timecard

 

Timecards can be added 3 in ways:

  • You can click Add Time Card in the top right corner next to Download

  • If the employee has time cards for the pay period you are viewing, click the 3 dots on the right-hand side.

  • If the employee does not have time cards for the pay period you are viewing, click the plus sign on the right-hand side.

When the time card is open, fill out the information needed:

    • Employee Name 
    • Date (This date will default to the first day of the date range view.)
    • Role (Optional) -This can be any role that appears in the drop-down or you can create a new one in this field. It is not limited to the assigned roles in the employee profile.
    • Clock-in/Clock-out times
    • Break times.

 

Once the time card is created, then the user can view the time card to add manager notes

Available on the ☆ Essentials Plan & up.

 

To lock the timecard you must be on the  ☆ Plus Plan & up

 

Editing a Timecard

You can select a time card to edit by:

  • Selecting the time card error that is already showing at the top of the page under "Needs Review"

  • Click on the time card row from the table that needs to be edited.

Once you have selected the time card, this time card box will now appear where you can make any edit.

  1. Click the "Edit" button
  2. Add or edit any information
  3. Select Save

Delete a time card by going through the steps to edit a time card and then select the trash icon in the top right corner of the box.

Locking Time Cards

(☆ Plus Plan)

  • Owners and managers can lock timecards. "Locking" time cards confirms that the timecard has been reviewed. Locked time cards can be unlocked and edited if needed.
  • By default, when time card locking is enabled, managers with permission to edit time cards and timesheets will be able to lock & unlock a timecard.

Manager Permissions to lock and unlock timecards can be edited in Team Permissions under Settings.

 

Depending on how timesheets are grouped (date, employee, or role), the option to Lock All time cards will appear on the header row to the Left.

 

Group By Employee will lock all time cards an employee had during the pay period.

Group By Date will lock all time cards for any employee with any role for that date.

Group By Role will lock all time cards for any employee that worked that role during the pay period.

You can also click the 3 dots on the right side to lock all time cards depending on how timesheets are grouped (date, employee, or role).

  • To lock an individual time card, click the lock on the timecard row or on the time card itself and click the Lock Icon

  • Time cards that have been locked can be unlocked by other managers (unless this permission has been removed)

Unlocking Timecards

  • To unlock a time card, click on the Lock icon to unlock.
  • Time card Edit History will display who locked and/or unlocked timecards.
