In this article we will cover how to set up your Web Time Clock using Homebase.
Web time clocks can be a great option for businesses where employees work remotely or work at a desk in the office. If you have one central computer to use to clock in/out, you can also use the Web Time Clock to have multiple employees clock in/out using their pin numbers!
How to Set Up your Web Time Clock
Follow the steps below if you would like employees to open the web time clock with their own login:
- Click Settings in the bottom left
- Click Time Clock Options under Time Tracking
- If you would like employees to launch a shared time clock under their own login, check the box next to Allow employees to launch the web time clock from their own computer
- Select Save Changes in the top right
If you would like your employees to clock in with the shared time clock, Employees will use their Homebase PINs to clock in and out on the Web Time Clock.
Please Note:
PINs are automatically generated when employees are added to Homebase
Owners or Users can only update PINs with Manager Access in the Employee Profile. Employees are able to see their PINs when they log into the mobile app or Homebase website.
- Select Team
- Click the name of the employee you would like the edit
- Be sure you are under the Job Details tab
- Click the blue pencil icon in the first box titled Access, Roles, and Wages
- Type in the box under PIN to edit the pin number for the employee
- When finished, click Save Changes in the bottom right of the box
- If an employee has an active profile with contact info, they can log into the Homebase app to see their PIN under More.
- For employees that do not have active profiles (due to missing contact info), Employers will have to provide the Employees with their PIN directly.
Launching a Shared Time Clock
Owners & Managers can launch a shared time clock on any computer with their own login.
If you have allowed the setting for employees to launch their own web time clock, employees will be able to open the shared time clock.
- Log into your Homebase account
- Click the Time Clock icon in the top right
- Click Launch Shared
- Select Go to Time Clock
- Once the web time clock is open, your Homebase account will be locked in Time Clock mode. To access your account, you will need to sign out & sign back in. This protects any information on your account from being accessed by employees.
- Employees will click Time Clock in the top right
- Enter your pin & Click Submit
If you are scheduled for a shift, you can click Clock In under your shift.
If you are not scheduled for a shift, you can select Start Unscheduled Shift.
- If you already clocked in, you will have the option to take breaks (if breaks are enabled in settings) or Clock out
By default, employees can see published schedules and the team roster from the Web Time Clock
(☆ Plus) To restrict access to seeing others' schedules, Managers can enable the following restriction under Scheduling > Alerts & Permissions
Launching a Personal Time Clock
Owners & Managers can launch a personal time clock on any computer with their own log in.
If you have allowed the setting for employee's to launch their own web time clock, employee's will be able to open the personal time clock.
- Log into your Homebase account
- Click the Time Clock icon in the top right
- Click Launch Personal
- Select Clock In
If you are not scheduled for a shift, you will have the option to clock in.
If you were scheduled for a shift: you can select your shift or an unscheduled shift clock in.
- If you already clocked in, you will have the option to take breaks (if breaks are enabled in settings) or clock out.
